Classification

Determine country, type of institution, synthetic/pilot/live, data types, modules and user roles.

Regulatory screening

Assess GDPR, NIS2, EHDS, MDR, AI Act, CRA and national requirements.

Assurance check

Verify certificates and scopes of Navion, Ozyra and hosting sub-processors.

Contract and privacy

Record licence, data processing agreement, sub-processors, DPIA, retention, incident matrix and export.

Technical set-up

Configure tenant, roles, MFA, modules, data location, logging and disabled AI/integrations.

Validation and training

UAT, clinical working agreements, human review, incident procedure and administrator/reviewer training.

Go-live decision Decision point

Only after formal approval of security, privacy, clinical responsibility and support.

Ongoing guidance

Periodic access review, quarterly review, incidents/CAPA, release management, annual continuity test and certificate monitoring.

Offboarding

Export, revocation of access, retention/deletion and demonstrable proof of deletion.

Pilot = live. A pilot with real patient data is treated as live processing. The label ‘pilot’ does not lower GDPR, security or safety obligations.
